    GPS Check-In Without Terminals: How WhatsApp Attendance Tracking Works

    The traditional approach to attendance is a fingerprint terminal at every entrance. It worked in the 2000s. It doesn't work now, not when you have 12 client sites, rotating crews, and workers who change locations weekly.

    The problem with terminals

    • Capital cost: €1,500-€4,000 per terminal, plus installation and a network connection.
    • Maintenance: Sensors fail in cold, dust, and grease.
    • Coverage gaps: Construction and field-service teams move; terminals don't.

    How WhatsApp + GPS check-in works

    The worker opens WhatsApp, taps a button, and shares their location. The system verifies they're inside the geofence of the assigned site, timestamps the check-in, and updates the schedule in real time. Same for check-out.

    • Zero hardware: Workers use phones they already own.
    • Multi-site by default: Geofences are software, not bolted-down boxes.
    • Audit trail: GPS coordinates + timestamp + worker ID is stronger evidence than a punch card.
    • Multilingual: The check-in flow runs in the worker's language.

    What about privacy?

    Location is captured only at the moment of check-in and check-out, not continuously. Workers see exactly what's shared, and the data is used only for payroll and compliance. This is well-trodden territory under GDPR when consent and purpose are clear.

    When terminals still make sense

    Single-site operations with 200+ workers funneling through one gate at shift change can still benefit from a turnstile. For everyone else, construction, logistics, staffing, healthcare support, the WhatsApp model wins on cost, flexibility, and worker adoption.
