The Cost of Manual Time & Attendance for 100, 500, or 1,000 Employees

A practical model for calculating the administrative cost of manual timekeeping: data collection, corrections, consolidation, hardware, and managerial time.

Operational cost analysis on a laptop screen

The cost of manual timekeeping is rarely visible as a single budget line item. Instead, it is spread across managers, HR, payroll, and operations.

That is why a reliable calculator doesn't start with the price of software, but rather with the minutes consumed by each step and how often they are repeated.

    The Basic Formula

Monthly Administrative Cost = Managerial hours spent on tracking + HR hours for consolidation + Hours for corrections and disputes + Infrastructure costs + Associated external costs.

To validate this, each company must input its own salary data and operational volume. We do not use a universal "promised saving" for RevoHR.

    Illustrative Example for 100 Employees

If each manager spends an average of 4 minutes per employee per week on checks and clarifications, 100 employees translates to approximately 6.7 hours per week. On top of this, you must add HR consolidation and month-end corrections.

This example is a hypothetical scenario, not an industry benchmark.

At 500 or 1,000 Employees, Exceptions Dominate

Scaling is not perfectly linear. As the number of locations, managers, and formats increases, so do handovers and discrepancies. Managing five files doesn't just mean five times more rows; it can also mean managing five different sets of rules.

This is why the number of locations and administrators is just as important as the total headcount.

Include Costs That Don't Look Like "Timekeeping"

Clarification calls, re-running reports, client verifications, audit preparation, badges and terminals, technical support, and the productivity lost when data arrives late.

An incomplete business case will either overvalue or undervalue any software solution, depending on which hidden costs are ignored.

    How RevoHR Reduces Manual Steps

Data is captured directly at the source via WhatsApp, geofencing flags exceptions, timesheets are generated automatically, and managers only intervene when a discrepancy requires attention.

Economic value must be calculated using company-specific data. RevoHR should not be presented with a guaranteed, fixed saving.

    Data Needed for Your Calculation

    • Total headcount.
    • Number of locations.
    • Number of managers verifying attendance.
    • Minutes per week per employee for administration.
    • Hours per month for HR consolidation.
    • Average number of corrections per month.
    • Current monthly hardware or licensing costs.
    • Average hourly rate of the roles involved.
